How Many Copies Should You Print for a Meeting or Training Session?

Short answer
Print enough copies for confirmed attendees, presenters, spares and late additions, then add a small buffer only when the file is final. The bigger risk is often version control: printing too early can leave you with many neat copies of the wrong document.
What count should you start with?
Start with confirmed attendees, then add presenters, organisers and anyone who needs a file copy. If the group is still changing, wait until the agenda or deck is final where possible.
For small meetings, one or two spare copies may be enough. For training sessions, consider late arrivals, facilitator copies and room copies.
Should every person receive every page?
Not always. A participant may need worksheets while a facilitator needs notes, an attendance sheet and a marked agenda.
Separate participant packs from internal staff materials so the wrong pages are not distributed.
What does collated mean?
A collated order gives each complete set in order before the next set starts. For a 20-page handout printed for 10 people, collated output should produce 10 complete packs.
If a job is not collated, someone may need to sort pages manually. For meetings and training, collated sets are usually easier to hand out.
When should you print the final version?
Print after the agenda, attendee list and document version are settled. If a late edit is likely, keep the quantity low or delay the order.
For urgent events, balance the edit risk against delivery timing. Same-day printing is less useful if the file is still changing.
